How to set up workflows (previously: automations)
The Workflow Builder is your new home for automating call tracking in Nimbata.
Set up and launch powerful workflows that work like they’ve read your mind. With the Workflow Builder, you can:
- Set Conditions with And/Or Logic
- Set Conditions with True/False Logic
- Automate multiple actions with Split Paths
- String sequences together with Multi-Step Automations
- Auto-trigger your next best step with AI Orchestration
Requirements: Available to Pro, Marketing, and Agency users.
Setting up workflows requires you to have an active subscription with any of our three paid plans.
How to Set up Workflows (previously: Automations) in Nimbata
Step 1. Click on “Workflows” on the left side menu.
Step 2. Click on the "+Add" button on the upper right corner.
Step 2. Now that you are in the Workflow Builder (previously: Automation Builder) screen, select when you want your workflow to be triggered:
- When a call starts
- When a call ends
- When a form is submitted
- When an SMS is received
- When a user performs an action on a call
- When a user performs an action on a form submission
Step 2.5. If you select "Call Starts" from the Workflow Builder Triggers, you will be asked to activate the Call Start event in at least one of your call flows. Click on the "Go to Call Flows" button and you'll be taken directly to that menu to set everything up.
You will then be redirected to the Call Flows Builder. Once there, tick the “Include call starter events” option and confirm.
Note: In keeping up with our transparency-first approach, we have included a pop-up window informing you of the $0.01 charge for each Call Flow using automations.
Step 3. Next, choose your filtering criteria. Click on the “+Add rule” button and choose one or more criteria from the right side menu.
Step 4. Once you have your workflow set up, click on the “Publish” button and your workflow will be up and running.
You can always rename your workflows by clicking on the 'New Workflow' text on the top left corner.
Pretty simple, right? From now on, all calls will be handled according to the workflow criteria you set, freeing you from manual work.
Using the new Workflow Builder capabilities to build complex workflows
- Set Conditions with And/Or Logic.
The new conditional filters allow you to switch between true/false & and/or logic, so you can set up your preferred conditions and trigger workflows if any of the criteria you’ve set are met.
Setup:
Step 1. Click on the plus '+' sign in the Workflow builder.
Step 2. Select 'Add filter' from the menu.
Step 3. Click on the three dots and select 'Set condition'.
Step 4. Click on the ' + add rule' button.
Step 5. Select all the criteria you wish to add to your workflow from the right-side menu.
Step 6. The default logic is the AND logic. To switch to an OR logic, hover over the Logic: AND button and click it.
This will amend the logic, as shown below:
- Set Conditions with True/False Logic.
Create flows with advanced filters that can handle multiple conditions. Once the conditional filter is set up, you choose what happens next. Add simple filters and populate your true and false scenarios for more control than ever before.
Setup:
Step 1. Click on the plus '+' sign in the Workflow builder.
Step 2. Select 'Add filter' from the menu.
Step 3. Click on the three dots and select 'Set condition'.
Step 4. Click on the plus '+' signs under the True and False conditions to set your criteria.
Step 5. Select the filters you wish to add and actions you want performed if the filter's conditions are met:

Your end result may look as simple as below, or as complex as you need it to be.
- Automate multiple actions with Split Paths.
With Split Paths, you can add as many paths to your workflow as you wish without the need to create multiple flows.
Setup:
Step 1. Click on the plus '+' sign under the Trigger menu and select 'Add path'.
Step 2. Populate your paths with the filters and actions you need. You can create as many paths as you like.
Your workflow may look something like ours below:
- String sequences together with Multi-Step Automations.
Add any number of filters, AI tags, and actions until the flow path mirrors your logic and attribution needs.
- Auto-trigger your next best step with AI Orchestration.
With AI Orchestration, you can pair multiple, solid AI automations with other actions – all under a single, mega-workflow.
Example workflow including the new Workflow Builder capabilities
Here is an automated workflow that utilizes the and/or and true/false logics, includes multi-step automations, and AI orchestrations:
Whenever we get a first-time caller and the call is not answered, the assistant call-back call flow is activated. If the caller picks up, then our AI tool is instructed to tag the call as a conversion. If the call is not answered, the AI tool is instructed to tag the caller as 'churned'.
