How to make and track Outbound Calls with Nimbata
Outbound Calls are finally here!
While Nimbata is renowned for attributing your inbound leads, the addition of our new Outbound Calling feature allows your team to track, analyze, learn and act from every call they make. By using the built-in dialer, you can call prospects back using your tracking numbers to maintain a professional and trustworthy appearance while maintaining full recording and AI-powered analytics.
1. Connecting the softphone
Before you can make an outbound call, you must access the dialer and connect it. You will need to verify at least one number to display as your Caller ID. This confirms ownership and ensures compliance.
Step 1. Click the floating Phone Button at the bottom-right of your screen to access the dialer.

Step 2. A pop-up will appear showing a 'Disconnected' status. Click the blue 'Connect' button to connect the dialer and start your outbound phone sessions.

Step 3. You will see a 'Connecting...' status while your phone service is being initiated. Wait a few moments until the connection is established.

Step 4. Once the status turns green and displays 'Connected', click on 'Select Number'.

Step 5. If you have already verified your caller ID and added a tracking number, the dialer will display it for you to select and start making calls.

2. Verifying your Caller ID
If you are prompted to verify your Caller ID or need to add another tracking number instead, follow these steps to continue with the setup process.
Step 6. If this is your first time, the dialer will display a 'Verify Caller ID' prompt. Click the blue 'Verify Number' button:

Step 6.5. If you are adding an additional number, click on 'Select number...' and then click the blue '+ Add new Caller ID' at the bottom of the list.

Step 7. A 'Verify a Number' modal will appear. Select your 'Country', enter your 'Phone number', and provide a 'Friendly name (optional)'. Click the blue 'Send code' button to receive your 5-digit code via Call or SMS.

Step 8. Enter the code you received into the 'Verification code' boxes and click the blue 'Verify' button.

Step 9. Once the number is confirmed, the modal will display a 'Number verified' message. Click the blue 'Done' button to finalize the process.

Step 10. Your verified number will now appear in the 'Select number...' drop-down menu. Click on the number to select it, enter the destination number in the keypad, and click the green 'Phone' button to start the call.

3. Softphone settings
Once connected, you can click on the 'Settings (gear) icon' at the top right of the dialer to customize your experience:
- 'Auto-Minimize': Toggle this to automatically hide the softphone when clicking outside of it.
- 'Dialpad Sound': Toggle the tones played when pressing dialpad buttons.

4. Choosing your Caller ID
To maintain brand consistency, Nimbata allows you to choose which number the recipient sees on their screen:
- Tracking Number (Recommended): You can select a Nimbata tracking number so the prospect sees the same number they originally called.
- Verified Business Line: If you have verified your own business number during setup, you can select it from the 'Select number...' dropdown menu in the dialer.

5. Tracking and data analysis
Outbound calls are fully integrated into your Nimbata marketing data, in the same way Inbound calls are:
- Unified Reporting: Outbound calls appear in your Activity > Calls log alongside your inbound traffic.
- Clear Labeling: In the activity log, outbound calls are clearly marked with a blue Outbound tag under the 'Direction' column to distinguish them from incoming leads.
- Attribution: Data from outbound calls is analyzed and attributed in the same way as inbound calls, allowing you to see the full lifecycle of a lead.

6. AI summaries and recordings
If you are on a Marketing or Agency plan, your outbound calls benefit from the same powerful automation as your inbound calls:
- Call Recording: Capture every conversation for training and quality assurance.
- AI Insights: Just like inbound calls, you can set up workflows to generate Transcripts, AI Summaries, Sentiment Analysis, and Post-Call Actions.
- Manual Notes: You can add notes, values, and tags to outbound calls directly from the activity log.
7. Important considerations
- Pricing: Outbound calls are billed at the same rates as inbound calls for the specific country being called.
- Regional Support: Outbound dialing is supported in every country where Nimbata offers inbound tracking.
- Legal Compliance: Agents are responsible for informing the recipient that the call is being recorded to stay aligned with local telecommunications regulations.
